Unable to Send Documents via Outlook from Flexible File (SAP GUI Security Restriction)

Users cannot send documents via the Send via Outlook function in the Flexible File. Outlook does not open and no error message is displayed.

Problem

In the Flexible File, users can normally send documents via Microsoft Outlook directly from the Documents tab.

Expected behavior:

  • Select a document.

  • Click Send via Outlook.

  • Outlook opens automatically.

  • A new email draft is created with the document attached.

Actual behavior:

  • The document is selected.

  • The button is clicked.

  • No Outlook window appears.

  • No error message is shown.

  • The system appears inactive.

Root Cause: The issue is typically caused by a local SAP GUI security configuration that prevents SAP from launching external applications such as Microsoft Outlook.


Solution

Follow these steps to resolve the issue:

  1. Open SAP GUI Options.

  2. Navigate to:
    Security → Security Configuration

  3. Click Open Security Configuration.

  4. Review all defined security rules.

  5. Identify entries that:

    • Block Microsoft Outlook

    • Deny execution of external applications

  6. Remove or adjust the blocking rule.

  7. Confirm and save the changes.

Validation:

  • Return to the Flexible File.

  • Go to the Documents tab.

  • Select a document.

  • Click Send via Outlook again.

Expected Result:

  • Outlook opens automatically.

  • A new email draft is created.

  • The selected document is attached.


Known Limitations

  • The issue is caused by local SAP GUI settings, not by the Flexible File application itself.

  • Changes may require appropriate user permissions.

  • If the issue persists after adjusting settings, contact IT support.
